Google Calendar Syncing

Below are our recommendations of how to synchronize your Google Calendar with devices and programs. Keep in mind that we recommend that you use Google's web interface whenever possible.

Devices

Blackberry

Google has a program called which will sync your calendar to your Blackberry. By default, it will sync your calendar(s) every two hours.

Windows Mobile Devices

Google has a program called which will sync up to five calendars wirelessly with your Windows Mobile Device.

iPhone

Google has a program called allows you to choose up to 25 Calendars with the Calendar app on your iPhone (on iPhone OS 3.0 and higher). It will sync your iPhone with your Google Calendar wirelessly.

Getting Started:

1. Open the Settings application on the home screen.

2. Open "Mail, Contacts, Calendars".

3. Open "Add Account"

4. Open "Microsoft Exchange"

Enter in the Account Information

5. In the Email field, enter in your full 鶹Ƶ email address: example@gustavus.edu

6. In the Domain field, enter in "Gustie"

7. In the username field enter in your full 鶹Ƶ email address:example@gustavus.edu

8. Enter in your 鶹Ƶ email password

9. Tap Next at the top of your screen.

10. When the new Server field appears, enter m.google.com.

12. Select which Google services you want to sync (Mail, Contacts, and or Calendars. In most cases, turn off mail and contacts.)

13. If choosing contacts, unless you want to delete all the existing Contacts and Calendars on your phone, select the Keep on my iPhone option when prompted.

14. Log into webmail (webmail.gac.edu), this will sync your password.

15.Set Calendars to Sync By default your device will automatically synchronize your main 鶹Ƶ Google Calendar. To sync other Google calendars you may use or have access to follow these steps

  • Open Safari from the main menu of the iPhone, iPod or iPad
  • Navigate to
  • Scroll down and select the Google Apps user button
  • Press Sync
  • Press Sign in with your Google Apps Account (gustavus email address *and email password)
  • Choose device (iPhone, iPad, or iPod touch)
  • Select any calendars you wish to sync and press Save at the bottom of the page

16. Set up of Google sync is done and synchronization will begin automatically if you have Push enabled on your device.

iPod Touch

Google has a program called allows you to choose up to 25 Calendars with the Calendar app on your iPod Touch (on iPhone OS 3.0) It will sync your iPod Touch with your Google Calendar wirelessly.


Getting Started:

iPod

At this time, the only way to sync your calendar to an iPod is by first syncing to iCal or Outlook and then syncing using a USB cable to your iPod.

Treo

In order to sync your Google Calendar with your Palm Treo, you must download/pay for . This will sync with Palm Desktop software which will sync with your Palm Treo.

Applications

Palm Desktop

You can sync your Google Calendar with Palm Desktop with the aid of Companion Link for Google. This will enable you to sync your Palm-based phone with Google Calendar.

Companion Link

is available for a fee, however there is a 14 day trial.

iCal

Apple's iCal is a great calendaring program built into Mac OSX. It integrates with programs that are built into Mac OSX such as Mail.app, Spotlight and Address Book. However, here at 鶹Ƶ, the majority of the campus uses Google Calendar (using the Google Apps for Education) to schedule events. By using CalDAV, this program and this service will work together. To use this service, you must have 10.5 installed.

If you are currently using Apple iCal, it would be best to export your current calendars and import them into Google Calendar as a first step.

  1. Open Apple iCal, go to Preferences and then the Accounts tab.
  2. Click on the + button to add an account.
  3. Under Account Information, enter your Google Account username and password.
  4. Under Server Options, add the following URL:

Replace 'youremail@domain.com' with the email address that you use to log in to Calendar. Make sure to include the '@domain.com' portion (which is @gmail.com for Gmail users) in this section.

  1. Click Add.
  2. Under the Delegation tab, select the calendars you'd like to add to iCal by checking the boxes next to them. You may need to hit refresh to get the latest list of calendars.
  3. Add your email address to your Address Book card by selecting Add Email. You'll be prompted to add your email address only if your address is not already in your Address Book.

Mozilla Sunbird

Mozilla Sunbird is a fairly stable, free, open-source, stand-alone calendar application. While Sunbird doesn't offer many advantages to Google's web-based interface, users already familiar with Sunbird may wish to continue using it.

To set up Sunbird to sync bi-directionally with your Google calendar, perform the following:

  1. (if it's not already)
  2. Install the add-on for Sunbird
  3. Back in Sunbird, open the File menu and choose Subscribe to Remote Calendar...
  4. Choose the On the network option and click the Next button
  5. Open your Google calendar in a web browser
    1. At the top-right corner, click on Settings
    2. Click on the Calendars tab
    3. Click on the calendar you wish to access
    4. In the Private Address section, locate the XML button and copy the link location (in Firefox, right-click on the button and choose Copy Link Location)
  6. Back in Sunbird, choose Google Calendar for the format and paste the location you copied in the Location field, and click the Next button
  7. Sunbird will prompt you for your Google calendar credentials (only choose to remember the password if you're the sole user of the computer you're on and you feel confident storing secure information on the machine), and click OK
  8. Choose a descriptive name for your Google calendar and choose a color to represent your Google calendar events in Sunbird and hit the Next button
  9. Click the Finish button

Moodle Calendar

If you would like to sync your Google calendar with your Moodle class calendar, follow these steps:

  1. Log into the 鶹Ƶ server.
  2. Click on the "Go to calendar..." link located in the Upcoming Events block.
  3. Click on the "Export calendar" button in the center of the window.Export calendar.png
  4. Select the options of your choice, and then click on the "Get calendar URL" button. CalendarURL.png
  5. Select and copy the URL that is given for iCalendar export.
  6. Now go to your Google Calendar and click on the Add > Add by URL link. Add calendar.png
  7. Paste your Moodle calendar URL into the Public Calendar Address: field and click the Add button.

Your Moodle calendar should now sync with your Google Calendar based on the options you selected.

Sync with Almost Anything

ScheduleWorld/Funambol

Another (free) way to sync your calendar is to go through a service called ScheduleWorld.

  • You first create an account on ScheduleWorld and give it access to your Google Calendar.
  • Then you install the appropriate plug-in for your device/application.

Funambol currently has calendar support for: Blackberrys, Windows Mobile devices, Palm Pilots (through Palm Desktop), , Outlook, and Thunderbird+Lightning. You may also download the Funambol application from the iTunes Store for use with the iPhone or iPod touch.

(Note: This does not seem to handle recurring events correctly. There seems to be a bug that makes recurring events never-ending.)
